What information I collect
- When you get in touch: your name, email address, organisation and job title (if you give them), what you’re interested in, and anything you tell me in your message. This may come through my contact form, by email, or through LinkedIn or Instagram.
- When you book a call: your name, email address, the time of your booking and anything you add to the booking form.
- When you work with me: your contact details, contract and invoicing details, notes from our sessions, the advice I give, and documents you share with me.
- Sensitive information: HR and personal matters can involve sensitive details, such as health, a disability or a grievance. I only collect this where it’s needed to support you, and I handle it with extra care and confidentiality.
- Information about other people: when I support an organisation, I may receive information about its employees. I keep it confidential and use it only to provide the agreed service. The organisation is responsible for telling its staff how their information is used.
Why I use it, and my lawful reasons
I will never sell your information or use it for anything you wouldn’t reasonably expect.
Who I share it with
I only share your information where it’s needed, with trusted providers who help me run my business. They must keep it secure and only use it on my instructions or as their own privacy notices explain.
- Google (Google Workspace and Google Forms): email, documents and my contact form.
- TidyCal: online booking.
- Stripe: invoicing and payments. When you pay, your card details go directly to Stripe. I never see or store your full card details. You can read Stripe’s privacy notice.
- Video call provider: if we meet online.
- My accountant and professional advisers, such as a solicitor or insurer, where needed. I will only refer your matter to a solicitor with your agreement.
I may also share information if the law requires it, or to protect someone’s safety.
Information stored outside the UK
Some of these providers may store or access information outside the UK, including in the United States. Where they do, I rely on safeguards recognised under UK law, such as the UK–US data bridge or approved contract terms.
How long I keep it
- Enquiries that don’t lead to working together: up to 12 months.
- Client files, session notes and advice: 6 years after our work ends, in case of any later questions or claims.
- Financial records: at least 6 years from the end of the financial year they relate to, as required by HMRC.
- Testimonials: until you ask me to remove them.
- Email updates: until you unsubscribe.
After that, I delete or securely destroy it.
How I keep it safe
I use secure, password-protected systems with two-step login, limit access to what’s needed, and keep any paper notes locked away and shredded when they’re no longer needed.
